BillSnap ("we," "us," "the Site") respects your privacy. This Policy covers both the free tools (invoice generator, PDF converter, templates, multi-currency calculator) and the paid done-for-you invoice processing service. By using either, you agree to this Policy.
2. Free tools — your data stays with you
Our free tools run entirely in your browser. This means:
- We do not receive any invoice data, vendor names, client details, line-item descriptions, or amounts you enter into the tools.
- We do not store your financial data on our servers.
- Your business details may be saved only to your browser's local storage so you don't have to re-enter them each session. You can clear this at any time via your browser settings.
- No financial data leaves your device when using the free tools.
3. Done-for-you processing — what we collect
When you use our paid invoice processing service, you intentionally send us documents for processing. In this context:
We collect and process:
- The invoices you forward to your private BillSnap inbox (PDF, image, or document attachments)
- Data extracted from those invoices (vendor name, amount, date, line items, tax breakdowns)
- Your return email address and any associated business identifiers
We use this information solely to:
- Extract and deliver the clean data you requested
- Improve extraction accuracy over time (patterns in extraction errors, not individual invoice contents)
- Provide customer support and account management for the service
- Fulfill obligations under your service agreement
We do NOT:
- Sell invoice contents or derived data to third parties
- Use your invoices for advertising profiling
- Share your invoices with anyone outside the BillSnap team (except subprocessors contractually bound to confidentiality — e.g., hosting providers)
- Retain invoices or extracted data beyond the service period specified in your service agreement
4. Automatically collected website data
Regardless of whether you use the free tools or are a processing-service customer, when you visit billsnap.org our infrastructure may log:
- IP address (anonymized where possible)
- Browser and device information
- Pages visited and referring URL
- Approximate geographic region (city-level)
This is used for security, abuse prevention, and aggregate analytics. It is not linked to individual calculator sessions or invoices.
5. Cookies
Essential cookies
Required for the Site to function (session tokens, CSRF protection). These cannot be disabled without breaking core functionality.
Advertising cookies (free-tool pages only)
Google AdSense and potential partner ad networks place cookies to serve and personalize ads based on browsing behaviour. These are not set until you accept them via our cookie banner. You can change your choice at any time by clearing site data, and opt out of personalized advertising here:

California residents (CCPA) — Do Not Sell My Personal Information
California consumers have additional rights under the CCPA, including the right to opt out of the "sale" of personal information. We do not sell personal information. You may designate an authorized agent to submit requests on your behalf, and we do not discriminate against users who exercise CCPA rights. To submit a request, use our contact page. Verified requests are fulfilled within 30 days.
EU / UK residents (GDPR)
Our lawful basis for processing is: performance of a contract (paid processing service); legitimate interest (Site security, analytics, free-tool operation); and consent (advertising cookies — revocable at any time). You have the right to lodge a complaint with your local supervisory authority.
8. Third-party service providers
We may use subprocessors who support the Site's operation: cloud hosting providers, email service providers (for contact-form delivery), and ad networks (Google AdSense — advertising only). All subprocessors are contractually required to process data only as instructed and maintain confidentiality. No third party receives data from the free tools, since we don't collect any.
9. Security
All data in transit is encrypted with HTTPS/TLS. The paid processing service implements access controls, encrypted storage, and regular access reviews. While no system is perfect, we follow industry-standard practices to protect the data entrusted to us.
10. Children
Our services are not designed for minors under the age of majority. We do not knowingly collect personal information from children. If you suspect a child has provided personal data to us, contact us and we'll remove it.
11. Changes to this policy
Material changes will be communicated via the Site's homepage and an updated "Last updated" date. Your continued use of the Site after changes take effect constitutes acceptance.
